Training Specialist/Operations Analyst (Navy/DoD)
The primary responsibility of this role is to deliver and maintain training for Navy Enterprise Resource Planning (ERP) systems and other tools used by project managers and business financial managers. The ideal candidate will have experience coordinating, developing, and delivering training sessions in a US Navy/DoD environment, while also handling various project management and reporting tasks.
Typical Responsibilities:
- Navy ERP Training: Deliver the Navy ERP Project Structure module to project managers on a regular basis (monthly group trainings and 1:1 sessions throughout the year). Maintain and update training materials as necessary.
- Training Development: Update existing training materials and create new content for upcoming tools such as Avana Jupiter. Translate vendor materials into NIWC-focused training programs.
- Project Checkbook & WAA/WAT Training: Conduct live training sessions for the Project Checkbook tool and Work Acceptance Agreement/Work Acceptance Tool (WAA/WAT). Collaborate with team members to backfill when necessary.
- Surveys & Metrics Management: Create, distribute, and analyze surveys for all training sessions using Qualtrics. Compile metrics and manage data in Tableau to ensure training effectiveness.
- Class Coordination: Set class schedules, coordinate participation, track attendance, and close out classes using internal scheduling tools. If needed, coordinate with team members to step in as class instructor.
- QA Testing: Participate in QA testing for updates to the Project Portal and Embedded Workforce Portal.
- Video & SOP Creation: Develop how-to videos for training purposes and update SOPs as required. Lead the video production process for new tool implementations using tools like Snagit.
- Maintain and update the “Network Activity End Item Product Crosswalk” Excel sheet on a weekly basis.
- Coordinate with external contacts to ensure project managers have access to necessary tools and permissions within Navy ERP.
- Assist with QA testing, update hub pages for internal portals, and manage communications related to training and updates.
Location: Primarily local remote. At least one onsite day every two weeks is required, as well as periodic in-person meeting attendance. Onsite days are based at NIWC PAC Point Loma in San Diego, CA.
Work Schedule: This position follows the California Alternate Work Week Schedule: Monday – Thursday are 9-hour days, Fridays are alternating 8- or 0-hour days, for a total of 80-hours for every two weeks. Workday starts at 7:15am PST Mon-Thu and on working Fridays.
Typical Physical Activity: Primarily desk/computer work in an office environment. May involve: repetitive motion.
Typical Pay Range: The anticipated pay range for this position in the identified location(s) is $40.00 - 43.00/hour. Actual compensation offered will be based upon individual factors including education, qualifications, and experience.
Existing SECRET Security Clearance Required: This position requires an existing active or interim Secret security clearance prior to hire. Only U.S. citizens are eligible for a security clearance; therefore, only current U.S. citizens will be considered for this position. An otherwise strongly qualified candidate with highly relevant experience but no current security clearance may be considered.
Required Knowledge, Skills, and Abilities:
- Bachelor’s degree in a relevant business or technical discipline.
- In lieu of an appropriate bachelor’s degree, other combinations of relevant qualifications may be considered including additional years of highly applicable experience, other degrees/professional training, military training, and/or professional certifications.
- At least ten (10) years of recent, relevant professional experience delivering and maintaining business and technical training.
- Strong project management skills with experience in scheduling, coordination, and reporting.
- Strong proficiency with the Microsoft Office suite.
- Experience using pivot tables in Microsoft Excel.
- Familiarity with training tools like Qualtrics, Tableau, and Snagit.
- Strong communication, instructor, and organizational skills.
- Experience with public speaking and conducting in person training to groups of varying sizes.
- Ability to work collaboratively with cross-functional teams and external stakeholders.
Additional Preferred Knowledge, Skills, and Abilities:
- Experience delivering training in ERP systems, especially Navy ERP.
- Experience with Project Checkbook, Avana Jupiter, and Work Acceptance Tools (WAA/WAT).
- Experience in video production for training purposes.
